Scope
To perform this job successfully, an individual must be extremely well organized, have excellent communication skills and be able to multi-task. The individual must have good typing and letter writing skills as well as excellent computer skills. Must be willing and able to make independent decisions on complex assignments as well as prioritize multiple tasks. This individual must be willing and able to make sound business decisions as well as present themselves in a professional manner to coworkers and customers. This is a fast paced work environment.
Strong computer skills including a working knowledge of MS Word, Excel, internet explorer and other computer programs that may be assigned. Individual must be able to write a detailed, professional letter when given the circumstances requiring the correspondence and a concise point to be made.
Duties
Essential Job Functions:
- Locate vendors for various materials and qualify based on product availability and sales terms
- Negotiate pricing with vendors, helping to lower overall project cost
- Builds relationships with key suppliers and customers
- Maintain standard material and pricing lists utilized by various groups (i.e. sales, engineering)
- Prepares and processes purchase orders for materials, supplies, and equipment
- Data entry to complete purchase orders into MS Dynamics system
- Coordinates with Warehouse to utilize inventory when available
- Assists sales personnel with vendor quotes
- Recommends alternate products whenever applicable
- Coordinates for timely material deliveries as necessary
- Informs project personnel of order status and estimated delivery dates
- Tracks materials ordered as necessary
- Returns materials to vendors when necessary, either due to incorrect order or damaged goods
10. Perform other duties as directed by Lead Purchasing Agent
11. Provide assistance as needed to all Engineering personnel as required
12. Collect and verify timesheets for various operations groups
13. Assist engineering group in compilation of submittals and O&M Manuals
14. Assist in maintenance of project files and drawings
15. Answer phones as required
Qualifications
Knowledge, Skills, and Abilities:
- Knowledge of Company Policies and Procedures
- Knowledge of basic accounting a plus
- Skill in operating equipment – such as a computer
- Skill in oral and written communication
- Skill in MS Office Suite, specifically Excel and Word
- Skill in MS Dynamics a plus
- Ability to problem solve
- Ability to communicate effectively within company
- Ability to be highly organized
- Ability to multi-task
Education and Experience: Associates degree in business or equivalent work experience. 0-2 years of purchasing experience preferred.
